Most people think of Record360 as an inspection tool: photos, video, checklists, damage annotation, and a trusted record of an asset’s condition at a single moment in time. That’s still true. But in a recent webinar, “Turn Inspections Into Action With Record360 Integrations,” the company’s product and customer success teams walked through something less visible: how that same inspection data connects to the other systems a rental, fleet, or service business already runs, and how customers are using those connections to automate work that used to happen by hand.
Bryan Osuszek, product marketing manager, hosted the session. He was joined by Jacob Pearlstein, technical product manager, who leads Record360’s integration strategy and roadmap, and Bradley Hindsman, Customer Success Team Lead, who oversees Record360’s Customer Success team and partners with strategic customers from implementation through long-term success.

An Inspection Is Also an Event

As Pearlstein framed it, a completed inspection in Record360 doesn’t just document what happened. It can update an ERP, a leadership dashboard, a work management board, or a customer-facing message, and it can kick off an entirely new workflow elsewhere.
That shift matters because every business system depends on accurate information. An ERP, a rental system, a maintenance program, and the people running all three need to know what actually happened to an asset. Historically, Record360’s job ended at capturing that record. Now, Pearlstein said, customers are treating the same data as the start of the next process rather than the end of the last one.
Record360 has built integrations with many of the leading platforms across auto, truck, and heavy equipment rental and service. Those partner connections solve the basics for a lot of customers, cutting out duplicate data entry and keeping systems synchronized. But Pearlstein was clear that the point isn’t any single integration on a partner list. It’s that every business runs a different mix of software, so the more interesting question is how a business connects Record360 to whatever it’s already using, partner platform or not.

The Pattern Behind Every Connected Workflow

Whatever the destination system, Pearlstein said the process is almost always the same:
  • An event happens. An inspection is completed, a unit is returned, damage is identified, or a status changes.
  • Record360 captures the trusted data. Checklists, photos, video, signatures, timestamps, and meter readings, whatever the next system needs to understand what occurred.
  • The data gets pushed out. Through the Record360 API, a webhook, or a partner integration.
  • Another system takes action. It updates an ERP, opens a work order, notifies a customer, or feeds a dashboard.
That four-step flow powers virtually every integration Record360 customers are building today.

From Reporting Gaps to Real-Time Fleet Visibility

Hindsman shared two customer examples in more depth. The first involved a large, publicly traded logistics company that had plenty of inspection volume in Record360 but no easy way to combine that data with information from its other systems. The company built its own operating dashboard to pull data from multiple sources into one place for real-time fleet decisions.
“Every inspection is captured the moment it’s completed and flows straight into our systems, feeding a warehouse of tens of thousands of records that powers the dashboards we make decisions from,” the customer said, according to Hindsman. The customer added that the resulting warehouse has become “one of our most reliable data sources.”
The practical effect, Hindsman said, is that the company no longer waits on an overnight report to make maintenance, deployment, or audit decisions. Because the sync happens automatically at the moment of upload, there’s no re-extraction step and no opportunity for the copy-and-paste errors that come with moving data between systems by hand.

Automating the Path From Inspection to Sale

The second example came from a large, publicly traded truck and trailer company preparing used equipment for resale. Before the integration was built, employees manually downloaded photos from Record360, sometimes cropping out timestamps, and posted them to the company’s sales website once a unit was ready.
Now, as soon as a sales-specific inspection workflow is completed in Record360, the photos, mileage, and condition information carry over to the company’s sales system automatically, ready to list. Nothing is filled out by hand. Hindsman said the change has meant faster listings, better data on those listings, and, ultimately, faster sales, since what used to be a separate remarketing step is now a byproduct of the inspection itself.

Finding the Right Starting Point

Hindsman encouraged attendees to look at their own operations rather than the specific examples on screen. His suggested starting questions:
  • What manual processes still exist in your business simply because that’s how it’s always been done?
  • Where could trusted inspection data eliminate work, improve visibility, or trigger the next action automatically?
  • What do you currently re-key, rebuild, or recreate by hand in another system after it’s already been captured in Record360?

Building the Connection: No Code to Full API

Pearlstein outlined a deliberate range of tools so that both non-technical teams and developers have a path to build an integration:
  • Unit mail importer: A simple way to import and update inventory in Record360 by emailing a spreadsheet or automated inventory report from another system, such as Salesforce.
  • Zapier: A third-party platform connecting Record360 to tools such as Salesforce and Microsoft Dynamics 365 without writing code, using a drag-and-drop setup. Zapier carries its own separate pricing, but Pearlstein said it’s often cheaper than hiring a developer for a simple integration.
  • API and webhooks: A full-featured option for creating and updating units, retrieving inspection details, assigning tasks, and receiving push notifications when an inspection is completed.
Record360’s developer portal at docs.record360.com includes setup guides for each option, along with an “Ask AI” assistant that can point users to the right documentation for a specific integration question. Pearlstein noted that artificial intelligence has also made it easier to build simple integrations without a developer, though more complex workflows still benefit from expert review.

What’s Coming for Point of Rental Customers

Asked during Q&A whether Record360 workflows and photos could populate directly in Point of Rental, Pearlstein said improvements to that integration are planned to enter beta around this fall’s IC26 conference, with a broader release to follow. The update is expected to expand Record360’s role in Point of Rental for check-in and checkout and to allow inspections to attach directly to contracts and be shared from contract attachments.

Do I need a developer to build a Record360 integration?

It depends on what you’re trying to accomplish. Simple integrations, such as those built through Zapier or email import, generally don’t require a developer. More complex or custom workflows typically benefit from developer involvement, though Pearlstein noted that AI tools have made even some custom integrations achievable without one.

Where should I start if I want to build my own integration?

Record360’s developer portal at docs.record360.com includes guides for the API, webhooks, and Zapier, along with an “Ask AI” tool that can point you to the right documentation for a specific use case.

Can Record360 integrate with IntelliDealer or CDK?

Record360 would like to, but IntelliDealer’s current owner has not been open to building that integration. If IntelliDealer or CDK makes an API available, Record360’s API can be used to build a custom connection.

Can customers manage more of their own Record360 setup, such as adding inventory or creating workflows, without opening a support ticket?

Some self-service options already exist for users with manager-level access, including an integrations section on the dashboard for partner connections and custom API keys or webhook endpoints. Additional self-service capability is planned, but most workflow and inventory changes currently go through Record360’s support team.

Can additional photos be added to an inspection from a desktop?

Not directly, since Record360 ties photo capture to the timestamp of the inspection itself. Customers can attach supporting photos or files in the comments section of an inspection, where they remain tied to that inspection in a separate area.

Will AI automatically create work order line items from damage detected in an inspection photo?

Record360 is currently rolling out AI features for damage detection. Damage-related tags are already available through the API and webhook today, and Record360 said it’s exploring how AI could play a larger role in flagging damage and checklist failures for automatic work order creation in the future.
