Why This Integration Matters

Our primary goal with this integration is to streamline the inspection process, making it more efficient and user-friendly. Here’s why you should care:

  1. Enhanced Data Accuracy: Integrating HBS Systems with Record360 ensures that the most accurate and up-to-date data is used during inspections. This reduces the chances of errors, such as incorrect unit numbers or missed details.
  2. Seamless Data Access: You can now access your Record360 units directly from the HBS Systems. Whether viewing a repair order or a unit, the full inspection history is just a click away. This eliminates the need to switch between different systems, saving time and effort.
  3. Improved Customer Interaction: With comprehensive inspection histories and photos at your fingertips, you can provide better updates and transparency to your clients. This builds trust and can help boost your service department’s reputation.

How It Works

Let’s delve into the specifics of how this integration functions:

  • Automatic Data Syncing: When you start an inspection in Record360, the system automatically searches your HBS Systems inventory. As you type in the unit number, a list of matching units from HBS Systems appears, allowing you to select the correct one easily.
  • Pre-loaded Inspection Checklists: Essential details like make, model, hours, and serial number are automatically pulled from HBS Systems into your inspection checklist. This reduces manual entry and ensures consistency across platforms.
  • Comprehensive Unit Pages: On the Record360 dashboard, each unit page displays all relevant data, including inspection history, specifications, and recent media. This consolidated view helps you manage units more effectively.
  • Easy Navigation: Whether you’re in the rental manager or looking at a repair order, an “inspections” button is available. This button links directly to the unit page in Record360, providing a seamless transition between systems.

Record360 + HBS Systems Integration: Your Questions Answered

Q: Can the search feature on the Record360 app find the stock number by entering the serial number?

A: The integration can be configured to use serial or stock numbers. However, when starting an inspection, you need to stick to one identifier, either the serial number or stock number.

A: Yes! The units page in the Record360 Web Dashboard will show the unit status and the last inspection type.

Q: Can Record360 be used for all incoming service repairs for customer-owned units?

A: Yes! This is commonly used for Record360 in a service department.

Q: Does the app have a Service component? From a service perspective, is there a future application for this in HBS?

A: HBS Systems and Record360 are actively working on service integration and are considering future improvements. Customer feedback is always welcome and utilized in deciding what to build next!

Q: When an email goes out to a customer, can we change the logo from Record360 to our company logo?

A: Yes! Record360 can customize inspection summaries with your logo and color scheme.

Q: Can you integrate the calendar with Outlook?

A: While our task calendar doesn’t explicitly support syncing with outside calendars, we offer an open REST API and a Zapier app to help facilitate any type of custom integration.
